Planning around the Dubai working week

Dubai’s working week gives office moves a natural window. Close on Thursday, move Thursday night and Friday, spend Saturday fixing anything that needs fixing, and open on Sunday as if nothing happened. Almost every office relocation we plan uses some version of that shape, because the alternative — moving mid-week — costs the business more in lost hours than the move itself costs.

The constraint is usually the buildings rather than us. Two offices means two sets of building management, two permit processes and two loading bays to book, and commercial towers often restrict goods lift access to specific hours. We confirm both before agreeing a date, because a move that can load at one end but not unload at the other is not a move.

Labelling is the whole job

The difference between an office that works on Sunday and one that does not is labelling. We number every desk on the new floor plan, and every crate, monitor, chair and pedestal is tagged to a number. Nothing is labelled “IT” or “accounts” — it is labelled 34, and desk 34 exists on a plan the crew is carrying.

It sounds like an administrative detail. It is the reason your staff do not spend their first morning in a new office opening other people’s boxes.

What to sort out before we arrive

Three things, in order of how often they cause trouble. Connectivity at the new office — order it early, because lead times in Dubai are longer than people expect and no amount of moving skill compensates for an office with no internet. A numbered floor plan, so the labelling has something to refer to. And a decision-maker reachable on the night, because something always needs a decision at eleven o’clock.

If you are also disposing of old furniture, tell us at the site visit. Clearing a floor of desks nobody wants is straightforward when it is planned and disruptive when it is discovered.

If we start Thursday evening, most offices under thirty desks are working again on Sunday morning with no lost business day. Larger moves are phased so that the teams who cannot stop — support, operations — are live first while others move the following weekend.

Your IT provider should decommission and recommission anything live, and the new office needs its cabling and connectivity ready before we arrive. We move the hardware, and we coordinate the sequence with them so the two jobs do not collide. Booking the internet connection at the new office late is the single most common cause of an office move overrunning.

Yes. Files travel in sealed, numbered crates that are logged out of one office and logged in at the other, so there is a record of what moved and when. For regulated businesses we can restrict handling to a named crew.

Yes, including bench desking and partition screens. Some proprietary systems need the manufacturer's installer to keep a warranty valid — we will tell you at the site visit if yours is one of them rather than taking it apart and finding out.
